AI Policy

1. Introduction

This AI Policy explains how Robert Brown trading as Browns Digital ("Browns Digital", "we", "us") uses artificial intelligence and related automation when building and operating our products. It sits alongside the Privacy Policy, Terms of Service, and Data Processing Addendum.

2. Principles

  • Human accountability. Material product, support, billing, and enforcement decisions remain subject to meaningful human review.
  • Purpose limitation. AI is used to operate and improve our services — not to sell personal information or build advertising profiles.
  • Transparency. When a customer-facing feature relies on AI in a way that materially affects content or decisions, we aim to label or document it.
  • Security and least privilege. Access to systems that process prompts or outputs is limited to people and subprocessors who need it.
  • POPIA alignment. Personal information processed with AI remains subject to POPIA and our Privacy Policy.

3. Where AI is used in Browns Digital products

Depending on the product surface and what we have enabled at a given time, AI or automation may assist with:

  • optional Studio features that help draft, suggest, rewrite, or organise website content (when offered and enabled);
  • internal engineering, quality assurance, and documentation work;
  • support workflows that draft replies for human review;
  • abuse detection, spam filtering, and security signals that protect the platform.

Not every product surface uses AI. Features may be free, paid, beta, or unavailable in your region or plan.

4. Customer data and AI

  • Personal information processed with AI tools remains subject to the Privacy Policy and POPIA.
  • We do not sell personal information to AI providers for their advertising models.
  • When we use third-party AI APIs, we configure them so customer content is not used to train the provider's general models where the provider offers that control, and we prefer providers that support it.
  • Content you publish on hosted sites remains your responsibility. AI-assisted drafts you accept are still Your Content under the Terms.
  • Do not submit secrets, payment card numbers, or special personal information into AI features unless the feature is expressly designed for that purpose and you have a lawful basis.

5. Human oversight

We do not use AI to make fully automated decisions that produce legal or similarly significant effects about you without meaningful human involvement, except where required for security or fraud prevention and then only as described in the Privacy Policy (with a human appeal path for account enforcement).

Staff use of AI must follow this policy and internal access controls. Outputs that affect customers in a material way should be reviewed by a human before they are treated as final.

6. Providers and subprocessors

AI may be delivered through vetted subprocessors listed or summarised in the Privacy Policy. Material changes to AI subprocessors that affect personal information are handled under our change-notice commitments in the Privacy Policy and Terms.

Provider terms may also apply to optional features. Where those terms conflict with this policy on a point of data use for training, we will document our configuration and preference for no training on customer content where available.

7. Transparency

  • We aim to describe AI-assisted features in product UI, Help articles, or this policy.
  • Roadmap items mentioning AI are informational and not a guarantee of delivery or behaviour.
  • If you are unsure whether a feature uses AI, ask via Help or email support@brownsdigital.org.

8. Limits and disclaimers

  • AI outputs can be wrong, incomplete, biased, or outdated. Review suggestions before publishing or relying on them for legal, medical, financial, or safety-critical decisions.
  • Beta or experimental AI features may change or be withdrawn; they are covered by the beta rules in the Terms when marked as such.
  • We do not warrant that AI outputs are fit for a particular purpose beyond the general warranty limits in the Terms.

9. Acceptable use of AI features

Use of AI features remains subject to the Acceptable Use Policy. You must not use AI tooling on our platform to generate prohibited content, spam, malware, or material that infringes others' rights.

10. Changes

We may update this AI Policy as our products and providers evolve. Material changes will be notified in line with the Terms and Privacy Policy. Continued use of AI features after the effective date constitutes acceptance of the updated policy.
